Overview

EcoVadis offers a globally recognized sustainability assessment framework that enables companies to benchmark and continuously improve their environmental, social, and governance (ESG) practices.

Engaging with EcoVadis not only demonstrates transparent commitment to sustainability but also strengthens relationships with customers, investors, and other stakeholders who increasingly demand credible evidence of responsible practices.

This guide is designed to serve as a roadmap for sustainability managers and peers, providing concrete steps, best practices, and insights to navigate the EcoVadis assessment process effectively without resorting to generic advice.

Understanding the EcoVadis Methodology

EcoVadis assessments cover four themes

  1. Environment
  2. Labour & Human Rights
  3. Ethics
  4. Sustainable Procurement.

The methodology is customized based on a company’s activity, size, and geographic footprint, ensuring relevance and rigor. The framework rests on 21 sustainability criteria derived from international standards (e.g., GRI, ISO 26000, UNGC principles), but only those criteria pertinent to the company’s sector and risk profile are activated for the questionnaire.

  • Customization & Industry Relevance: During registration, EcoVadis tailors the questionnaire by evaluating the company’s industry classification, headquarter country, operational footprint, and size to pinpoint the most material issues.

  • Scoring & Benchmarking: Responses backed by verifiable evidence are scored by trained analysts following strict scoring guidelines. Scores are then benchmarked against industry peers to position performance both relatively and in absolute terms.

  • Scorecard Output: After assessment, a detailed scorecard highlights strengths and improvement areas for each theme, with prioritized corrective actions. This transparency drives targeted improvement plans and communication with stakeholders.

Initial Preparation & Gap Analysis

Before beginning the EcoVadis process, conduct an internal readiness assessment to identify existing practices and gaps relative to EcoVadis criteria. This phase ensures resources are focused effectively.

  • Assemble a Cross-Functional Team: Involve representatives from sustainability, procurement, HR, legal/compliance, operations, and IT. This ensures comprehensive understanding of processes, policies, and data sources.

  • Map Current Practices to EcoVadis Themes: For each of the four themes, document existing policies, management systems, certifications (e.g., ISO 14001, ISO 45001), reporting processes, and stakeholder engagements.   • Define Objectives & Timeline: Establish clear objectives (e.g., target score or tier), assign responsibilities, and set a realistic timeline for preparation, submission, and post-assessment improvements. Consider buffer time for document compilation and internal reviews.

Registration and Company Profile Setup

Accurate company profile information is crucial for a tailored questionnaire and reliable results.

  1. Register on the EcoVadis Platform: Create an account and provide basic details. Ensure the legal entity name matches official documentation to avoid discrepancies during analysis.

  2. Define Assessment Scope: Choose the correct scope—single site, multiple sites, or group-level assessment—reflecting where sustainability practices apply. Clarify which sites or business units are included, based on organizational structure and stakeholder requirements.

  3. Specify Location & Size: Input headquarters country, primary site addresses, and employee count. This influences risk profiling (e.g., operations in high-risk regions) and weighting of criteria.

  4. Select Industry Classification: Choose the accurate industry code following international standards. If uncertain, consult ISO classification guidelines to ensure the right material issues are activated in the questionnaire.

  5. Review and Confirm: Before proceeding, review all inputs to avoid mismatches. Errors here can lead to irrelevant questions or misaligned benchmarking.

Questionnaire Completion & Evidence Collection

The core of the process is responding to the online questionnaire with documented evidence.

  • Understand Question Structure: The questionnaire is structured by theme and criteria. Each question typically requires a yes/no or descriptive response, often followed by a request for supporting documentation. Some questions may require quantitative data (e.g., carbon emissions metrics).

  • Centralized Documentation System: Establish a repository (e.g., shared drive, document management system) with clear naming conventions and folder structures organized by theme and criterion. This promotes efficiency in uploading and future reassessments.

  • Gather Verifiable Evidence: For each answer, upload relevant documents such as policies, reports, certificates, training records, meeting minutes, risk assessments, or third-party audit reports. Prefer original or certified copies over summaries, and ensure documents are recent and cover the relevant scope.

    • Examples:

      • Environmental Policy document, updated within the last 12 months.
      • Carbon footprint calculation report or energy consumption data.
      • Health & Safety procedures and incident logs.
      • Supplier code of conduct and supplier audit summaries.
      • Anti-corruption policy, training attendance records, and related communications.
  • Align Evidence to Criteria: For each piece of evidence, note in an internal tracker which question/criterion it supports. This helps avoid duplication and identifies missing links. Use a simple spreadsheet if helpful.

  • Ensure Credibility & Authenticity: Avoid preparing documents solely for EcoVadis. EcoVadis analysts verify authenticity through plagiarism checks and certificate validation processes. Submitting dubious documents can result in rejection, negative comments on the scorecard, or alerts to requesting companies

Roles, Responsibilities & Internal Coordination

Clear governance and collaboration underpin successful completion.

  • Project Owner & Steering Committee: Assign a senior sustainability lead or manager as project owner. Establish a steering committee or regular check-ins with key stakeholders (procurement, HR, operations, legal) to review progress and resolve issues.
  • Data Owners & Document Owners: Identify individuals responsible for providing data (e.g., environmental data from facilities managers, HR data from HR leads) and for drafting or consolidating documents. Clarify deadlines for each deliverable.
  • Training & Awareness: Educate involved teams on EcoVadis requirements, importance of evidence credibility, and timelines. Host workshops or briefings to align understanding and expectations.
  • IT & Systems Support: Engage IT to ensure systems can produce necessary data (e.g., emissions data, supply chain data) and to manage the document repository securely.
  • Confidentiality & Data Security: Since the platform and uploaded documents are confidential, communicate protocols for handling sensitive information and adhere to internal data security policies

Submission & Interaction with EcoVadis Analysts

After completing the questionnaire and uploading evidence:

  1. Internal Review: Perform a final internal review to check completeness, consistency, and quality of responses and documents. Use a checklist to ensure no questions are left unanswered or evidence missing.
  2. Submit Assessment: Submit via the EcoVadis platform. Note the submission date, as subsequent reassessment cycles depend on this timing.
  3. Analyst Review Phase: EcoVadis analysts review the submission, may raise inquiries or request clarifications. Monitor the platform regularly to respond promptly. Delayed responses can postpone final score delivery.
  4. Handling Inquiries: When analysts ask for additional details or documents, provide clear, concise responses with the requested evidence. Document all communications internally for audit trail and future reference.
  5. Receiving the Scorecard: Once the review is complete, the scorecard is published. Analyse the detailed feedback on strengths and improvement areas.

Scorecard & Benchmarking

Once your assessment is reviewed, EcoVadis provides a detailed Scorecard that summarizes your performance and shows how you compare to others in your industry. Understanding this correctly is key to identifying what matters – and what to improve next.

The scorecard includes:

  • Overall Score (0–100): Your aggregated score across all themes, based on evidence reviewed.
  • Theme Scores: Separate scores for:
    • Environment
    • Labour & Human Rights
    • Ethics
    • Sustainable Procurement
  • Management Indicators: Performance is evaluated through indicators like Policies, Actions, Results, and Certifications.
  • Percentile Rank: Shows how your performance compares to other companies in your industry, size, and region.

EcoVadis awards medals or badges based on:

  • Your overall score,
  • Your theme scores, and
  • Results from the 360° Watch (adverse news screening).

Medal Tiers (as of 2024 criteria):

  • Bronze: Top 35% (scores between 47–55)
  • Silver: Top 25% (scores between 56–66)
  • Gold: Top 5% (scores between 67–74)
  • Platinum: Top 1% (score 75+)

Badges:

  • Committed: New entrants that complete the full questionnaire and receive a valid score but don’t qualify for a medal.
  • Fast Mover: Companies that have significantly improved their score since their last assessment (≥6 points improvement) but do not yet meet medal criteria.

Important:

 → You must meet minimum thresholds in each theme to be eligible for a medal (no critical weakness in any area).
→ Companies in high-risk industries may be excluded if negative findings are flagged in the 360° Watch.

Benchmarking

Use your scorecard to:

  • Compare yourself to industry peers and best-in-class performers.
  • Identify themes and criteria where you're lagging or excelling.
  • Track performance trends over time through reassessments.
  • Justify corrective action plans (see Step 8) and internal investments.
  • Position your company as a preferred supplier in tenders, RFPs, and partner networks.

 

Developing & Executing the Corrective Action Plan

A structured corrective action plan is critical to address weaknesses and elevate performance.

  • Prioritize Based on Impact & Effort: Use the priority levels provided by EcoVadis and internal risk/benefit analysis to sequence actions.
  • Define Clear Tasks: For each improvement area, specify tasks (e.g., develop or update policy, implement monitoring system, conduct training, enhance supplier screening). Include timelines, milestones, and responsible parties.
  • Resource Allocation: Secure necessary resources (budget, personnel, technology). For instance, investing in an ESG data platform or external audits may require procurement and IT involvement.
  • Integration into Existing Processes: Embed actions into business-as-usual workflows. For example, integrate sustainability criteria into procurement workflows, performance reviews, and management reporting.
  • Stakeholder Engagement & Communication: Communicate plan progress to leadership, employees, and where relevant, to customers or partners, demonstrating commitment and transparency. Regular updates maintain momentum and accountability.
  • Leverage Training Partners & Consultants (Optional): If internal expertise is limited, consider engaging approved EcoVadis training partners or consultants to guide specific areas (e.g., supply chain risk management, human rights due diligence)

Continuous Improvement & Reassessment Cycle

EcoVadis is not a one-off certification – it’s a continuous journey, with reassessments typically every 12-24 months.

  • Monitoring & Data Collection: Establish KPIs and dashboards to continuously monitor performance (e.g., emissions trends, incident rates, supplier compliance metrics). Automate data collection where possible to streamline future submissions.
  • Regular Internal Audits/Reviews: Schedule periodic checks to verify that processes and documentation remain up to date and aligned with evolving standards or regulations.
  • Update Policies & Procedures: As regulations or stakeholder expectations evolve, update relevant policies (e.g., new labor regulations, updated environmental targets). Reflect these updates with documented evidence early in the cycle.
  • Engage Leadership Continuously: Maintain executive sponsorship by reporting progress, sharing successes (e.g., reduced carbon footprint) and challenges, and aligning sustainability goals with strategic business objectives.

Prepare for Next Assessment
Several months before the next reassessment, perform a mini-gap analysis referencing the prior scorecard feedback and any new internal/external developments. Refresh evidence repository proactively.

Benchmark Over Time
Track score trends across assessment cycles to demonstrate improvement or identify stagnation. Use this insight to refine long-term strategies, such as net-zero roadmaps or human rights due diligence programs.

EcoVadis in Supply Chain & Stakeholder Engagement

Beyond assessing your own company, EcoVadis ratings support broader sustainability programs:

  • Supplier Engagement Programs: Use EcoVadis to request assessments from critical suppliers. Segment suppliers by spend, risk, or strategic importance, and integrate assessment results into procurement decisions.
